Define the workbook contract before changing cells
This original example concerns a community workshop's fictional attendance exports. Each registration has an identifier, event date, workshop code, attendance state and fee. The desired outputs are a reviewed clean table, understandable summary formulas and a descriptive report. No workbook was processed for this article. Do not infer that a skill's existence proves support for every Excel version, file size or workbook feature.
Inventory the files, sheets, headers, formulas, macros, links and protected areas. Define the unit of one row and the keys used to join tables. Preserve an unchanged original and write to a new output. Record the permitted input directory and outputs before processing; a folder containing unrelated personal files is not permission to inspect all of them. Separate raw data, cleaned records, exceptions and reports so a later reader can trace changes.
Stage one: clean and merge without inventing data
Read identifiers as identifiers, preserving leading zeros. Establish the locale and meaning of dates before parsing ambiguous values. Normalize whitespace only where the field definition permits it. A missing attendance flag is unknown, not automatically absent; a missing fee is not automatically zero. Put unresolved values in an exception report with the original row reference.
Define duplicates by business meaning. Identical-looking registrations may represent separate legitimate visits, while two different spellings may refer to the same registration. Compare stable keys and approved rules before removing records. Retain the rows affected and the decision rule. Never describe automatic deletion of every repeated name as reliable deduplication.
For cross-sheet merges, establish whether the key relationship is one-to-one, many-to-one or something else. Test uniqueness on the lookup side and inspect unmatched keys. Compare row counts and totals before and after merging: a duplicated lookup key can multiply records without producing an obvious error. Files in one directory do not automatically share compatible schemas.
The cleaning deliverable is a new table, a change log and unresolved exceptions. Check that accepted records plus explicitly excluded or unresolved records reconcile with the source under the chosen counting rules. Sample changed and unchanged rows. A visually tidy workbook is not sufficient evidence that dates, identifiers and totals retained their meaning.
Stage two: generate formulas people can inspect
Write the requirement in terms of fields and rules before requesting syntax. For example, count attended registrations for one workshop in a defined period, excluding cancelled records. Specify whether blank attendance is excluded and how dates at the period boundary are handled. Then choose functions supported by the target spreadsheet application and version.
Explain each condition and reference. Use named tables or clearly bounded ranges where appropriate and inspect absolute versus relative references before filling down. LET can improve readability when supported; it is not a universal compatibility guarantee. Compare a small hand-checked fixture covering a normal row, a blank, a cancelled registration and a boundary date. Do not hide every error with a blank result, since that can conceal broken references or bad input.
Writing a formula string is different from calculating it. openpyxl documents that it does not evaluate formulas. A saved workbook may contain stale or missing cached results until calculated by an appropriate engine. Verify the actual result in the intended environment and record that environment. Reading cached values alone does not prove the new formula ran.
The English source also raises VBA automation. Treat macros as a separate optional implementation decision. Review code, scope and required application support before execution; ordinary data processing does not require enabling unknown macros. A formula-based or scripted transformation may be more maintainable for a small repeatable task. Do not claim a generated macro was tested merely because the code was produced.
Stage three: summarize and report with reconciliation
Define each measure before building a pivot or chart: registration count, attended count and collected fees have different denominators. State the period, filters and treatment of missing records. Reconcile grouped totals against the accepted clean table and retain an exception count. A chart built from a partial selection can look convincing while omitting the newest rows.
Use a chart that answers the question, such as attendance by workshop with clear units and labels. Keep underlying data available and inspect legends, axes and category ordering. Report observed descriptive differences without inventing causal explanations. A higher attendance rate in one workshop does not establish why it happened. Identify missing-data and coverage limits beside the conclusion.
Workbook capacity depends on columns, formulas, objects, memory and the tools used, not only row count. Measure a representative sample and inspect resource use before selecting a bulk-processing route. Never promise that any file below an arbitrary row threshold will be fast. Protect formulas and workbook features that a chosen library cannot faithfully preserve by retaining originals and validating a copy.
Verified skill role and a practical request
The catalog query did not establish a dedicated spreadsheet entry matching the original skill names. No guessed installation links are provided. Exploratory Data Analysis can support exploratory quality checks on an authorized export in a supported format such as CSV. Review the pinned format support, Python requirements, permitted input root and new output location. It does not preserve Excel styles, macros or pivots, calculate workbook formulas, decide business duplicates or establish causality. Source review, scanning and runtime evidence remain distinct.
A bounded request is: “Read only the specified workshop export copies. Propose field meanings and cleaning rules first. Preserve identifier zeros and send ambiguous dates or blank attendance to exceptions rather than filling zero. Check lookup uniqueness before merging. Write new files and reconciliation records. Test formulas against four boundary fixtures and report calculated results only after actual recalculation in the intended environment. Do not run macros or overwrite originals.”
Acceptance, troubleshooting and FAQ
Check identifiers, dates, duplicate decisions, merge cardinality, formula results and report totals separately. If totals inflate after a merge, inspect repeated lookup keys. If dates swap month and day, revisit locale assumptions. If formulas display no new values, distinguish formula storage from recalculation. If a workbook loses objects, investigate the writer's supported feature set instead of overwriting the original again.
Do users need to know every function? Plain-language requirements help, but conditions and boundary results still need review. Is CSV equivalent to an Excel workbook? No: it does not preserve workbook formatting, multiple sheets or formula behavior. How does this differ from built-in AI? Actual tools, permissions and application versions decide the workflow; there is no universal version-independent guarantee. What size is safe? Assess the real structure and resources rather than quoting an arbitrary row threshold.
Sources and continuing maintenance
References are pandas merging and Excel-reading documentation and openpyxl's formula documentation, with both original-language articles retained together in the editorial record. The maintained pandas project and its documentation are useful interface references, not proof of full workbook feature fidelity. This fictional example claims no executed cleaning, recalculation, macro or report. Keep actual results, versions, change rules and unresolved exceptions, then recheck affected totals and formulas when inputs change.
