Define the purpose and recipients before drafting. For an internal training notice, record the session time, place, audience, registration channel, deadline, and contact. Use your organization’s current document template and approval process to choose the format.
Check the recipient’s action
State what the recipient should do, by when, and through which channel. For example, each department submits a participant list through the internal form by a stated date. Confirm times, contacts, and attachment names. Assign an owner and feedback channel to any cross-team action.
Review language and format separately
Use Writing Guidelines to check clarity, consistent terminology, and repeated information. Check the heading, addressee, signature, identifier, and attachments against the organization’s format. Verify the names and scope of cited documents with the responsible reviewer.
Preserve the approved version
Submit the draft, attachments, review notes, and unresolved points together. After approval, export the same version, open its attachments, and record the delivery channel and date. If the schedule changes, approve the revision and inform the original recipients.
